Managing your team: roles, invites and permissions

How to invite people to help run your club, what each of the four roles is allowed to do, what the different invite statuses mean, and exactly who is permitted to spend from the club wallet.

A club does not have to be a one-person job. The Team tab lets you invite other people to help run yours, each with a role that decides what they are allowed to touch. This guide covers inviting, the four roles, the invite statuses, and the one permission that genuinely matters — who can spend money.

Owners only

The Team tab only appears if you own a club. If you joined someone else's club as a team member, you will not see this tab at all — that is expected, not a fault.

Roles

The four roles

You are the Owner. That is not a role you assign — it is simply you, and it cannot be given away. Everyone you invite gets one of four roles:

What you can assign

  • AdminOptional
    The most trusted role. Can view everything and can move money from the club wallet.
  • FinanceOptional
    Intended for whoever handles the money. Also can move money from the club wallet.
  • CoachOptional
    For squad and match work. Can view the wallet but cannot move money.
  • Community ManagerOptional
    For posting and community engagement. Can view the wallet but cannot move money.

The permission that actually matters

Every active team member can view your wallet — the address, the balance and the transaction history. But only you, an Admin or a Finance member can actually move money: withdrawals, swaps, loan repayments, gifts and AI image generation. Coach and Community Manager are view-only where funds are concerned. Assign Admin and Finance as if you were handing someone your bank card, because functionally you are.

Enter their email and pick a role

Invites are sent by email address. Choose the role at the same time — you can change it later, so it is not irreversible, but starting with the lowest role that lets someone do their job is the safer habit.

They receive an email

Lonida emails them an invitation naming your club and the role you offered. What happens next depends on whether they already have a Lonida account.

They accept

If they already have an account, they must actively accept the invite before they gain any access. If they do not have one yet, the invite waits until they sign up, and activates automatically when they do.

Statuses

Reading the invite statuses

A member in your list is always in one of these states, and knowing which explains why someone might not yet have access:

What each status means

  • ActiveOptional
    They have accepted and their role is in force. This is the only status that grants access.
  • Pending signupOptional
    Invited, but they have no Lonida account yet. The invite activates by itself the moment they register with that email.
  • Pending approvalOptional
    They have an account and have been invited, but have not accepted yet. Nothing you can do but wait or remind them.
  • DeclinedOptional
    They were invited and turned it down. Invite them again if it was a mistake.
  • RemovedOptional
    You revoked their access. They would need a fresh invite to return.

"They say they accepted but nothing happened"

Check the email address on the invite matches the one they actually signed up with. A pending signup invite only activates for that exact address, so a typo or a different address leaves it waiting indefinitely.

Management

Changing a role or removing someone

Roles can be changed at any time from the member's row, and the change takes effect immediately. Demoting an Admin to Coach, for example, instantly removes their ability to spend from the wallet.

Removing is immediate and permanent

Removing a member instantly revokes their access to your account, club, team and wallet. It cannot be undone — if you change your mind you have to invite them again from scratch, and they have to accept again.

Their view

What team members see

A team member signs into their own Lonida account and works on your club through it. They keep their own profile, their own username and their own security settings — you never share a login. Their actions are recorded in the club's activity log as well as their own, so you can always see who did what.

FAQ

Common questions

Can I transfer ownership of my club?+
No. Owner is not one of the assignable roles — the club belongs to the account that created it. The closest equivalent is granting someone Admin, which gives them broad control including spending, but ownership itself stays with you.
Can a team member invite other people?+
Inviting is done from the Team tab, which belongs to the club owner's account. Team members manage the club, not its membership.
Does a team member need their own wallet?+
No. The wallet belongs to the club, and everything they do financially — if their role permits it — moves the club's LONIDA, not their own.
Someone I removed can still see old messages. Is that a bug?+
No. Removing revokes access going forward. Anything they already saw or saved while they had access is simply out in the world, which is why Admin and Finance should be given sparingly.
Can one person be in two clubs?+
An account can own a club and also be a team member elsewhere. What they can do in each is decided separately by their role there.
